We are seeking an experienced and highly organized Legal Secretary to provide administrative and legal support to attorneys in a fast-paced law firm environment. The ideal candidate will have prior law firm experience, strong document management skills, excellent attention to detail, and the ability to manage multiple priorities while maintaining professionalism and confidentiality.
Responsibilities
- Prepare, proofread, revise, and format legal documents, correspondence, pleadings, agreements, and other legal materials.
- Maintain and organize physical and electronic client files.
- Manage attorney calendars, including scheduling meetings, court appearances, depositions, and client conferences.
- Coordinate document filings, service of documents, and general case administration.
- Open new matters, maintain client records, and assist with conflict checks.
- Answer and direct phone calls, take messages, and communicate professionally with clients and outside parties.
- Process incoming and outgoing mail, emails, and deliveries.
- Assist with time entry, expense reports, and billing support.
- Prepare binders, exhibits, and other materials for meetings, hearings, and trials.
- Handle confidential and sensitive information with discretion.
- Provide general administrative support to attorneys and legal staff.
Qualifications
- Minimum 3 years of experience working in a law firm required.
- Previous experience as a Legal Secretary, Legal Assistant, Litigation Secretary, or similar legal support role.
- Strong understanding of law firm procedures and legal document management.
- Excellent organizational and multitasking skills.
- Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint).
- Strong grammar, proofreading, and communication skills.
- Ability to work independently and meet deadlines in a fast-paced environment.
- Professional demeanor and strong client-service skills.
Preferred Qualifications
- Experience with document management systems such as iManage or NetDocuments.
- Familiarity with California court filing procedures.
- Experience supporting litigation, corporate, employment, real estate, or other legal practice areas.
